General Policy

Please contact us if you wish to use our Partner Portal on our website to book.++++ **Please note that all bookings are not to be considered confirmed until a confirmation is received from Bear Country - If you experience a delay in receiving your email confirmation please contact Bear Country at 1-250-578-6969 or 1-800-811-4588 or reservations@bearcountry.ca. This will insure that you receive the required confirmation numbers and details** -------------------------- CONTACTLESS CHECK-IN FOR CONDOS | TOWNHOUSES | VACATION HOMES | FIRESIDE LODGE | KOOKABURRA LODGE Bear Country has implemented a contactless check-in. Guests will be able to go directly to their unit anytime after the 4 PM check-in time. To be able to send out the link for the contactless check-in we would need the mobile number and email address of one of the guests on the booking at the time of booking. -------------------------- Bear Country Property Management in person check in locations: For Condominium, Townhome and Vacation Home reservations & For the Cahilty Lodge reservations – 3220 Village Way -------------------------- During the winter season our front desk reception locations will be open 24 hours, 7 days a week. -------------------------- Please call Bear Country at 1-800-811-4588 or 1-250-578-6969, if you have any questions regarding check in procedures. Check-in time is 4:00 pm -------------------------- BEAR COUNTRY RESERVES THE RIGHT TO MOVE GUESTS TO A SIMILAR OR UPGRADED UNIT, PROVIDED SIMILAR AMENITIES ARE PROVIDED SUCH AS BED CONFIGURATION, HOT TUB, # OF BATHROOMS, ETC IF UNIT BOOKED IS NOT AVAILABLE. Rates Rates are based on *Per unit - maximum occupancy per unit will apply. Minimum night stay requirements may apply. Minimum Age Requirement Clients must be 21 years of age in order to reserve rooms with Bear Country. Lead guests are required to include their age to confirm bookings. Identification is required upon check in. PARKING Cahilty Lodge - Nightly parking charges apply of $20 per night + GST. First Come First Serve for Outdoor or Secured Underground. Overflow paid parking is available at P5. Scan the QR code at P5 to pay the parking fee. Condo/Vacation Homes - parking for 1 vehicle provided complimentary Smoking Policy Smoking is not permitted in units. Charges will apply, if violation occurs. Housekeeping Cahilty Lodge - We offer a linen & towel change every 4th night on bookings 7 nights or longer. We are happy to replace any items you may need during your stay. Please, fill out the Housekeeping Request Form provided in your unit OR download our Bear Country App to submit your request through the App. Submit your request before 10 AM for same-day delivery. Fireside Lodge - Your rental unit has fresh linens, bath towels, soaps (including dishwasher and laundry), and paper products. Our rates do not include daily maid service. However, a linen & towel change every 7th night for stays 10 nights or longer will be provided. The kitchen cleaning is the guests responsibility. All Other Condo/Vacation Homes - Your rental unit has fresh linens, bath towels, soaps (including dishwasher and laundry), and paper products. Our rates do not include daily maid service. However, a linen & towel change every 10th night for stays 14 nights or longer will be provided. The kitchen cleaning is the guests

Written Cancellation Policy

If you cancel your reservation MORE than 30 days prior to your expected arrival date, an amount equal to your advance deposit is forfeited. A non-refundable Processing Fee of 3% is applied to every booking. Cancellations made less than 30 days prior to your arrival will result in forfeiture of full amount. In the event that a reservation is altered by either a later arrival date or an earlier departure date, there will be no refund made to charges already put through on your credit card. **Private Travel Insurance is recommended**

Written Deposit Policy

ALL DEPOSITS, PAYMENTS AND CONFIRMATIONS FOR ACCOMODATIONS ARE TAKEN AND PROVIDED BY BEAR COUNTRY, phone: 1-800-811-4588. VISA and MASTER CARD are accepted for payment. Visa Debit and Pre Paid Visa cards cannot be accepted for payment. Reservation confirmations will be pending payment if these forms of payment are provided. Credit Card payment details must match the guest name and address on the reservation. Reservation confirmation will be pending payment if details are not matching. One night's deposit (before taxes) is due at the time of booking. Balance is processed 30 days prior to arrival date. If booking is made within 30 days of arrival, full balance is due at time of booking and this amount is non-refundable. A valid MC or VISA is required upon check-in.

Pets Policy

A limited number of DOG friendly units are available and must be requested at the time of booking. A maximum of 1 dog per unit is allowed. Sorry, dogs only. The charge is an additional $30.00 per night, plus applicable taxes billed upon CHECK-IN.
